Summary:
Support Sales Engineers and Office Manager including general office functions and Order Processing
Description:
Sales Administrator position carries the following job responsibilities:
• Sales Support – process quotations and customer purchase orders; work with customers and factories to correct issues
• Answering phones
• Clerical Duties as necessary
• Reception – greeting guests, welcome screen updates
• Order processing – Input purchase orders, acknowledgements and invoices into WinRep system on a weekly basis, provide management information reports, upkeep of filing and attachments
• Database Management (backup) – upkeep of customer contacts, quote/forecast entry, creating filters, exporting data, management information reports as required
• Mail room – distributing incoming/outgoing mail, email and postal mailers
• Literature room (backup) – ordering and filing of new literature, purging obsolete items, mailing lit packets to customers
• Demo Equipment (backup) – moving, packing, weighing and shipping; logging documents into database. Sales Administrator must be able to lift/move at least 25 lbs.
• Assist in office preparations for the morning, meetings and special events
• Special Projects – to be defined as they arise
Desired Skills and Experience:
• High school diploma and 2 years college
• 5 years minimum office experience in sales admin functions, including customer support, purchase orders and sales quotes preferred
• Detail oriented, quality conscience-minded
• Data entry background – comfortable with repetitive nature of the work
• Strong knowledge of Microsoft Windows and Office (Word, Excel, Outlook and PowerPoint)
• Experience with Goldmine CRM Software and WinRep Software a plus
• Organizational skills a must – personal space and the office as a whole
• Courteous and naturally energetic personality
